How does digital signage scheduling work?

Imagine’s scheduler lets you choose when content should appear and which screens should display it. Once a schedule has been created, it appears in the calendar, where you can review your campaigns by month, week, day, or as a list.

The dashboard also gives you a quick overview of what is active today, what is coming up, how many screens are scheduled, and which campaigns will end within the next seven days. Clicking on a schedule opens its details so you can review it and manage the assigned screens

Can I schedule content in advance?

Yes, you can. Prepare campaigns ahead of time, set the dates and times, and publish the schedule before the campaign begins. This is useful for seasonal promotions, launches, public holidays, events, and recurring communications.

Review future schedules regularly in case prices, dates, or operational plans change.

Always check the date, time zone, target screens, and expiry settings before publishing a time-sensitive campaign.

What is dayparting and how can it be used?

Dayparting means scheduling different content to appear at specific times of the day, helping each screen show information that is relevant to the audience viewing it at that moment.

For example:

  • Restaurants can switch automatically between breakfast, lunch, and dinner menus.
  • Retailers can time morning offers, after-work promotions, or weekend specials.
  • Offices and factories can display different messages for each shift.
  • Gyms can promote upcoming classes throughout the day.
  • Hotels and venues can change information between check-in, peak activity, and closing periods.

The aim is not to create an unnecessarily complicated schedule. It is to make your content more useful and timely, while ensuring outdated menus, promotions, or messages do not remain on screen.

Can content run only on selected days?

Yes. Choose the relevant days of the week for recurring content, such as a Friday special or weekday staff message. Combine the day rule with a date range so the item doesn't continue indefinitely after the campaign ends.

Can campaigns expire automatically?

Yes. Set an end date or expiry so time-sensitive content stops without a manual removal. This reduces the risk of an old price, completed event, or finished competition remaining on screen.

Make sure the default playlist still contains valid content after the campaign expires.

Can I schedule one campaign across several locations?

Yes, you can. Assign the schedule to the relevant screens, groups, or tags rather than publishing separately to every location. Grouping should reflect real operating needs, such as region, store type, department, or audience.

Can different branches use different schedules?

Yes. A national campaign can run across the full network while regional or local schedules address different trading hours, offers, events, or stock.

Define which content takes priority and who may create local schedules to prevent conflicts.

This is particularly useful when different branches, trading hours, or audiences need different messages.

What is an L-shaped or squeeze-back schedule?

An L-shaped, or squeeze-back, schedule temporarily reduces the size of the main content and moves it into the remaining visible area of the screen. This creates an L-shaped space made up of a vertical panel on either the left or right-hand side of the screen, together with a horizontal panel along the bottom.

The additional space can be used to display:

  • Promotions or limited-time specials
  • Urgent announcements
  • Event information
  • Calls to action
  • Brand messaging
  • Scrolling text or news headlines

Because the original content is resized rather than covered, viewers can continue watching it while the additional message remains visible. Make sure both the main content and the L-shaped design are easy to read, with important text and logos kept clear of the resized or repositioned areas.

Can I edit or pause a live campaign?

A live campaign can be adjusted when plans change, but the update still needs to reach each player before the screen reflects it. An online player should receive the change promptly, while an offline player may continue showing its last downloaded schedule until it reconnects.

For a time-sensitive change, update the campaign, check the affected screen status, and use a remote screenshot or on-site check to confirm that the new playback has taken effect.

What can I schedule in Imagine?

Scheduling controls when playlists, campaigns, or supported content appear on selected screens. It can be used for date ranges, days of the week, times of day, seasonal campaigns, menu dayparts, and recurring internal messages.

Can I prioritise urgent content?

Yes. If you need to communicate something immediately, Imagine allows you to publish priority content that takes precedence over your existing playlists and schedules.

This is particularly useful for:

  • Emergency announcements
  • Safety messages
  • Product recalls
  • Important customer notices
  • Unexpected store closures
  • Urgent operational updates

Set an end time for the priority campaign so outdated information does not remain visible. Once it ends, the screen automatically returns to its normal schedule.

For shorter alerts and ongoing reminders, you can also use Imagine’s scrolling ticker widget. The ticker can run across the top, middle, or bottom of the screen while the existing content continues playing, allowing you to share an update without creating a new full-screen design.

Where possible, prepare urgent-message templates in advance, keep the wording clear, and decide who is authorised to publish them. Digital signage should support, rather than replace, your organisation’s formal emergency communication systems.

Can I see active and upcoming schedules?

Yes. The scheduler gives you a calendar view of your campaigns, with options to view schedules by month, week, day, or as a list. You can also search for a specific schedule and click on a calendar entry to view its details and manage the screens assigned to it.

The summary at the top of the page shows:

  • Schedules active today
  • Upcoming schedules
  • How many screens have scheduled content
  • Schedules ending within the next seven days

This makes it easier to see what is currently running, what is coming next, and which campaigns may need your attention soon.

Can I schedule individual media files and complete playlists?

Yes. Imagine allows you to schedule either an individual media item or an entire playlist, depending on what you need to display.

An individual image, video, or document can be scheduled independently for a specific promotion, notice, or event. For larger campaigns, you can schedule a complete playlist containing multiple media items that play in your chosen order.

In both cases, you can select when the content should begin and end, as well as the screens on which it should appear. This gives you the flexibility to manage anything from a single time-sensitive message to a complete campaign running across multiple displays.
